Identify yourself at the beginning of all your calls: Make sure that while taking a call while you’re in your office answer the phone by greeting the caller, state the department name and then tell them your name. In case, you’re answering the phone on a cell phone simply say hello, state your name. Make sure you do not answer the call by using words like “yeah” or “yes”. That does not sound polite enough. When placing a phone call make sure that you state your name and the name of the person you want to speak with.
Be very careful about the tone of your voice: Make sure that your tone doesn’t get aggressive or pushy. Be authoritative and confident. Don’t lean back in your chair during your telephonic conversation. I would recommend that you should sit up in your chair and then carry on with your conversation.
Plan things you intend to cover and discuss things you want to say beforehand: Pen down things you want to discuss on your telephonic conversation and in case you are put on a voicemail. In this case, keep your message well planned and as direct as possible.
Avoid interruptions and distortions during your conversations: Do not indulge with any side conversations with other people around you. Make the other person feel valued.
